Program Policies

Academic & Clinical Requirements

Students must obtain a minimal grade of “C” in both the academic and clinical practice portions of the program. If at the end of the grading period the student has not obtained a grade of “C” or higher in either section, he/she will be subject to academic/non-academic probation and the course will have to be repeated when it is offered the following year. A subsequent probation will result in termination from the program. Failure to pass any pre-requisite course with a “C” or better will result in immediate termination from the program.

  • Grading Scale

The grading system varies with each individual instructor and is communicated at the beginning of each course. However, the final letter grade is determined using the following system:

    A         90%-100%

    B         82%-89%

    C         80%-81%

    D         70%-79%

    F          Below a 70%

  • Probation

Students that do not meet the academic or clinical requirements may be placed on either academic or clinical probation.

    Academic

If a student does not obtain a final grade of “C” in any course, he or she will be placed on academic probation. The student will be required to repeat the course when the course is offered again; subsequent grades that are below the standard will lead to termination from the program.

    Clinical

If a student does not meet the clinical competency requirements for the semester or fails three (3) clinical competencies within the semester or does not obtain a “C” on the semester evaluation, he or she will be placed on clinical probation. The student will have thirty (30) days to rectify the infraction; at which time the clinical grade will be lowered one letter grade. Failure to obtain a final semester clinical grade of “C” will result in termination.

  • Tuition Refund

Students who withdraw from the program may be eligible for a full refund if they withdraw within the first thirty (30) days of the paid semester. Textbook fees are NOT refundable, and the $500.00 deposit is non-refundable. Students who are dismissed for disciplinary reasons are not eligible for tuition refunds.

  • Transfer Credits

Ascension All Saints School of Radiologic Technology does not accept transfer credits from other colleges or institutions. The school will however consider advance placement for students requesting to transfer from another JRCERT accredited program. Students requesting advanced placement must pass a 200-question multiple choice test that evaluates his or her cognitive knowledge with an 80%. Additionally, a clinical test that evaluates the psychomotor competency must be passed with a 90%.

  • Student Pregnancy

Disclosure of pregnancy is strictly voluntary; however, in the event that a student radiographer reveals a pregnancy, it must be in writing, and she is allowed to rescind the pregnancy claim at any time. A documented pregnancy requires the school to provide the following information:

    1. Nuclear Regulatory Guide No. 813

    2. NCRP Report 116
    3. Fetal radiation monitoring device
    4. Answers to the questions that these reports may generate

Additionally, the school of radiology will offer the following three (3) options to the student:

    1. The student radiographer may continue in all aspects of the program to include her clinical rotation schedule and observing strict radiation protection measures
    2. The student radiographer may defer her clinical rotations entirely until after her pregnancy. She may continue in the didactic portion of her education and make up the missed clinical time
    3. The student radiographer may follow the long-term illness policy by withdrawing from the class with the option of being re-admitted the following year at the beginning of the term in which the pregnancy occurred.

  • Personal Time

Students are granted 120 personal hours during the 24-month educational period. The personal time may be used for either a scheduled event, in which case prior notice is required, or an unscheduled day such as illness. If the student exceeds the allotted personal time-off, additional requests may be denied, and any time missed beyond the allotted personal time-off will be made up after graduation from the program.

  • Disciplinary Process

Any violation of school or hospital policies and rules may initiate the disciplinary process. The first occurrence of violation will be documented as an oral warning. A second occurrence will result in a written warning, and a third occurrence will result in a 3-day suspension. Suspensions must be made up following graduation. Subsequent violations will result in immediate termination from the program.

The Administrative Committee for Student Affairs consisting of the Program Director-School of Radiologic Technology, Medical Advisor-School of Radiologic Technology, and the Director of Medical Imaging may also supersede this policy and immediately suspend or terminate a student from the school whenever a student’s actions or conduct have caused ethical, physical or psychological harm to a patient or co-worker.

  • Student Grievance and Appeals

In the event of any perceived unfair occurrence such as grades, unfair treatment, suspension, termination, probation, or delayed graduation, a student may file a grievance or make an appeal.  An impartial resolution will be determined from a formal hearing with the advisory committee and the student will be notified of a resolution within an identified time frame.

The grievance and appeals procedure is intended to provide students with an accessible and fair means of being heard, alert faculty to the reason for student dissatisfaction, and provide a formal mechanism to ensure a prompt and equitable process. Arrangements will be made to hold a formal meeting with the student and the committee members during which time the student presents his/her appeal. The advisory committee has ten (10) working days to conduct additional sessions, gather information and to arrive at a decision that is determined by majority. The student may challenge the committee’s decision and make a final appeal to the Chief Operating Officer. The decision of the Chief Operating Officer is final.

  • Non-Compliance of Standards and Resolution Policy

Direct complaints or allegations of non-compliance with the Joint Review Committee on Education in Radiologic Technology (JRCERT) standards may be brought directly to the attention of the JRCERT or to the school advisory committee.
